The Challenge
For the third year in a row, Cvent and VPI have teamed up to capture end-to-end video production coverage for their annual European conference, Cvent CONNECT Europe. The 2023 event was their biggest yet, spanning multiple days with live sessions, keynote talks, exhibitor showcases, and customer stories.
Cvent needed a trusted production partner who could film, edit, and deliver content in real-time – from highlight reels and social clips to customer testimonials and live-streamed interviews for their virtual audience.
The Approach
We deployed three dedicated film crews to capture every angle of the event:
- Crew 1: Filmed event highlights, B-roll, and attendee vox pops.
- Crew 2: Conducted in-depth testimonial interviews with Cvent customers from the events and hospitality sectors.
- Crew 3: Produced CONNECT-TV – a series of live interviews with speakers and guests, edited on-site and streamed through Cvent’s event app.
To keep up with the fast pace, we built a six-person on-site editing team working around the clock to turn around content within hours. This included daily highlight videos for social media, edited session recordings for virtual attendees, and social ‘walk and talk’ interviews published during the event.
Pre-production was crucial. Working closely with Cvent, we mapped out every filming requirement, from speaker schedules to branding assets, and developed detailed shot lists and call sheets for each day. Continuous communication between our crews and the Cvent team ensured smooth coordination across the three-day event.
The Impact
Over the course of the project, we produced:
- 3 daily highlight videos shared across Cvent’s social channels
- 60+ testimonial films for customers in hospitality and events
- CONNECT-TV content streamed live to virtual attendees
- Session edits made available online within hours
The result was a seamless hybrid experience, keeping both in-person and virtual audiences engaged. Cvent gained a library of dynamic content to promote future events, showcase their technology, and share authentic customer stories that highlight their impact in the industry.
